Job Summary

The Crew and Volunteer Coordinator reports to the Event Production Manager and is a key member of the Event Production team. The ideal candidate will have experience in managing multiple projects in a fast-paced environment as well as experience in both volunteer management and events. This position will be responsible for building the event volunteer/crew database by sourcing, recruiting, and retaining volunteers and crew members to help execute this large scale, multimillion-dollar fundraising event. This position will lead the coordination of Crew Members and Volunteers for all events produced in Australia and will provide the opportunity to work closely with some of the most highly regarded charities and foundations in the world, in a fun, fast-paced and highly rewarding environment.

Essential Responsibilities and Duties

  • Recruit new Crew Members and volunteers through community outreach, volunteer fairs and free advertising opportunities
  • Achieve goals by recruiting and retaining members of crew and volunteer teams
  • Conduct regular phone & email communication, as well as in person meetings for training and retention
  • Manage and prioritise multiple projects and recruitment initiatives
  • Train, lead, motivate and manage crew and volunteer groups prior to and during events
  • Engage Crew Members and Volunteers in lead up to event including assignment of roles and responsibilities
  • Assess the strengths of crew members to effectively organiSe them into teams
  • Organise and execute profile raising events to attract new volunteers
  • Maintain, update and manage Volunteer social media profiles and database
  • Identify current and potential event needs to ensure all roles are accounted for
  • Prepare and organize event documents such as schedules, manuals, and communication plans
  • Assist with pre and post event planning: working within storage, packing event supplies, and assisting event coordinator with route development
  • Coordinate Event Production in collaboration with Event Production Manager
  • Lead event execution through intimate knowledge of all event facets and details
  • Work in collaboration with community groups to secure volunteers and if possible contra/sponsorship arrangements
  • Manage event based initiatives and activities
  • As required, manage signage and production assets from development through on event activation

Minimum Qualifications

  • Minimum of 2 years of Event Management experience
  • Minimum of 2 years of Volunteer Coordination/Management experience
  • Bachelor’s Degree or equivalent education is preferred
  • Previous event coordination or volunteer management experience required
  • Proven experience and expertise in public speaking and presentation skills
  • Proven time management and organizational skills
  • Exemplary communication skills (written and verbal)
  • Demonstrated ability to work collaboratively
  • Prior experience within a fundraising or non-profit space or in events is a plus
